- Receiving the incoming correspondences, including decisions of the faculty councils, and other topics from different directorates and entities.
- Checking the necessary documents for each subject, completing the shortcomings, and preparing them for presentation to the relevant councils, as there is a list of documents needed to study each subject.
- Entering the data into the computer program, saving the file and send it to the competent office.
- Distributing correspondences to the relevant councils according to the nature of topics, either to the council of scientific affairs, or the council of scientific research and higher studies, or the university council, or to other directorates.

- Preparing the meeting agenda to be displayed on screens electronically after checking each file according to the list of documents required for each topic.
- Preparing and drafting the council’s decisions after the session is held and keeping each topic and classifying it in its own folder according to the council’s tree that includes branches for all the topics studied in it.
- Distribute the decisions with their supporting documents to the concerned authorities for implementation.
- Archiving these decisions and arranging the documents according to their files.
- Preparing the minutes of the meeting, including an indexing of the decisions taken, and circulating them to all concerned parties.

Council of scientific research and higher studies
Preparing for the sessions of the council of scientific research and higher studies, which is held every 15 days under the chairmanship of the vice president for scientific research and higher studies and membership of the professors,vice deans of the faculties for scientific research and higher studies, a representative of the teachers’ syndicatev and the students’ union, and the university assistant secretary. The council studies the scientific tasks related to the scientific research missions of teaching staff and the issues related to the postgraduate students such as registration and granting master’s and doctoral degrees…etc.

University council
Preparing for the sessions of the university council in advance, as the university council receives the decisions issued by the councils of scientific research and higher studies, the council of students’ affairs, and the council of open education. In addition, it takes other topics related to its tasks concerning the members of teaching staff (faculty members -teaching assistants,members of the technical staff), and undergraduate and postgraduate students.This council is held every 15 days under the chairmanship of the university president and the membership of the university vice presidents, the deans of the faculties, a representative of the ministry, a representative of the teachers’ union and the students’ union and directors of institutes and the scientific centers, and the council secretary.
